ACCOUNTING CLERK

FeedMore WNY is seeking an experienced full-time Accounting Clerk with primary responsibilities for entering data into the general ledger system, ensures files are complete and maintained as needed, handles accounts receivable duties, and assists finance department as well as administrative support staff. The incumbent performs a variety of general accounting support tasks in the finance department including but not limited to the following:

Responsibilities:

  • Update and maintain accounting journals, ledgers and other records detailing financial business transactions
  • Process and maintain current receivable records for our customers and member agencies [applying grants, processing and posting payments to the correct account(s)]
  • Complete monthly Accounts Receivable Reconciliation between customer and/or agency accounts and accounting system.
  • Assist in setting up grants in the inventory system
  • Enters data into computer system using current accounting software and other software as needed
  • Help research, track, and resolve accounting errors
  • Prepare checks for mailing
  • Record charges and refunds
  • Verify and prepare daily bank deposits using remote deposit
  • Prepare hand written deposits when needed and deliver to the bank
  • Record credit card payments in accounting software
  • Process credit card payments when needed
  • Other duties as assigned

Qualifications:

  • Minimum two (2) year degree in Accounting/Finance or 1-3 years experience
  • Proficiency with Microsoft Office and QuickBooks

DONOR ENGAGEMENT COORDINATOR

FeedMore WNY is seeking an experienced Part-Time Donor Engagement Coordinator. The Donor Engagement Coordinator sustains and grows the organization’s planned giving and monthly giving programs, employee/workplace giving campaigns, and matching gift opportunities.  The duties include but are not limited to the following:

RESPONSIBILITIES:

  • Manage the portfolio of planned and monthly giving prospects/donors from prospect solicitation to post gift management
  • Oversee and expand existing employee/workplace giving campaigns and matching gift opportunities
  • Identify prospects through organization’s existing donors and prospect research
  • Assists with establishing goals for contacts, visits and solicitations
  • Work collaboratively with key staff, Board Members, and key lay leaders to cultivate and grow donor relationships
  • Assists with donor acknowledgment letters and stewardship calls and other correspondence as needed
  • Attend appropriate stewardship and recognition events to assist in management of activities, welcoming guests and gathering of feedback

GRANTS ADMINISTRATOR

Grants Administrator

FeedMore WNY is seeking an experienced full-time Grants Administrator with primary responsibility for oversight, compliance, and grant reconciliation as it pertains to the Hunger Prevention Nutrition Assistance Program (HPNAP) Operations Support and Seed grants, as well as the Agency Assistance Program (AAP) grant. The Grants Administrator will act as liaison between FeedMore WNY and its member agencies, providing customer service with incoming agency questions and concerns, conducting site visits, and performing general administrative duties.  The duties include, but are not limited to, the following:

RESPONSIBILITIES:

  • Documents and reconciles all activity for Operations Support, Seed, and Agency Assistance Program (AAP) grants including grant application development and processing, providing training to the agencies, and preparing and processing all correspondence
  • Maintains working knowledge of HPNAP Policy and Procedures as they pertain to agencies and FeedMore WNY
  • Acts as HPNAP/AAP Committee Chairperson, coordinating documentation, scheduling meetings, and communicating all information regarding HPNAP/AAP grant
  • Processes grant award check requests and all associated grant correspondence
  • Assists with follow-up and ongoing communication with state HPNAP contract managers
  • Creates and analyzes annual and mid-year reports for HPNAP grants and FeedMore WNY
  • Assists with activities pertaining to the Operations Support, Seed, and AAP grants, to include developing and maintaining processes to monitor and track appropriate assets (e.g., agency equipment)
  • Provides assistance to clients with direction of Emergency Food Relief Organizations (EFRO) in their areas, and acts as a resource for agencies with questions and problems pertaining to FeedMore WNY policies and services, as needed
  • Maintains a working knowledge of overall agency ordering process
  • Conducts site visits and inspections as needed
  • Acts as a point person for receiving monthly report data from agencies, addressing any issues or concerns with agencies, and compiling data for final report
  • Assists with other duties and projects as requested

 

QUALIFICATIONS REQUIRED:

  • MUST have a valid Driver’s License with access to vehicle and be capable of lifting of 35 lbs.
  • Associates Degree and 3-5 in grants administration

INTAKE SOCIAL WORKER

FeedMore WNY is seeking an experienced full-time Intake Social Worker with primary responsibilities including but not limited to the following: assessment of participants’ health and psychological needs, appropriateness for meal service and coordination and implementation of services plans including information, referrals and linkage.

RESPONSIBILITIES:
 Initiate participant application, make home visits, assess appropriateness for service, obtain relevant information regarding social, health and psychological needs, if not available from another case
management source.
 Responsible for initiating home delivery service, refer to other appropriate resources, as needed, and
provide continued follow-up, through serving of routes, visits, and phone calls.
 Intake responsibilities include an initial call with the referral source or applicant, completion of intake form
and referral to the appropriate Social Worker and/or other case manager.
 All social workers are responsible to answer inquiries about home delivery service, provide back up and
assistance to each other, as well as other case managers, work with appropriate staff to coordinate service
delivery, and submit timely and accurate monthly statistical/activity reports and other reports as requested.
 Participate in special projects, in-service training of Health Care/Social Agencies, staff and volunteers as
required, work cooperatively with public and private community resources for the coordination of Agency
services, and maintain required professional credentials.
 Maintain current knowledge of community agencies and resources, ensuring dissemination of related
information for all appropriate Agency personnel, and actively participate in community affairs related to
Meals on Wheels programs and goals.
 Perform other duties as so directed.
 Other duties as assigned or needed.

NUTRITION RESOURCE MANAGER

Nutrition Resource Manager

FeedMore WNY is seeking an experienced full-time Nutrition Resource Manager with primary responsibility for development, implementation, and supervision of plans for nutritional care based on need within the communities we serve. Incumbent will be knowledgeable, adheres to national protocols/guidelines and collaborates with local partners focusing on nutritional principles of diet, food selection, food safety and related economics. The duties include, but are not limited to, the following:

RESPONSIBILITIES:

  • Provides day to day customer service to member agencies, including support for training and other requests with urgency.
  • Manages interns to include directing workflow, performance management, and other supervisory duties as necessary.
  • Documents and reconciles all activity for HPNAP Food Grant and Baby Needs Grant and participates as an active member on associated Committee; Administers the HPNAP Food Safety and Sanitation Project.
  • Provides education and technical assistance to emergency food relief organizations focusing upon nutrition, food safety, use of FeedMore WNY products and services, and resource management to help ensure quality, safe, and cost-effective foods are available to clients in need.
  • Provides technical nutritional assistance to the FeedMore WNY Food Committee and actively participates in product procurement team purchasing planning.
  • Monitors Food Recalls through the FDA and Feeding America and effectively communicates related recall protocols to agencies.
  • Provides technical assistance to FeedMore WNY staff and agencies regarding food safety including safe product handling, storage and shelf life requirements.
  • Actively participates in HPNAP Operations Support Program, and Agency Assistance Program.
  • Assists with other duties and projects as requested.

 

QUALIFICATIONS REQUIRED:

  • MUST have a valid Driver’s License with access to vehicle and be capable of lifting of 35 lbs.
  • Minimum of bachelor’s degree in food service administration, community nutrition, human nutrition, dietetics, public health, health education and/or an equitable degree from an accredited institution.
  • RD/RDN (Commission on Dietetic Registration) or at least two (2) years of professional, community nutrition related work experience.
  • Proficiency with Microsoft Office; excellent verbal and written communication skills.

SITE ASSISTANT

SITE MANAGER

FeedMore WNY is seeking a part-time Site Manager for multiple locations within Western New York. The site manager is responsible for but not limited to the following: operation and management of a site to ensure coverage for all routes and effective relationships with both site assistants and volunteers.

Responsibilities:

  • Supervision of the site, ensuring accurate and timely delivery of all meals to site recipients
  • Test temperature of meals according to NYS Health Department standards
  • Recruit, train, supervise, evaluate and discharge volunteers
  • Supervise proper handling of equipment and food
  • Ensure all food is acceptable for delivery
  • Communicate recipient health and safety issues to appropriate personnel
  • Maintain volunteer information and record weekly volunteer schedules
  • Supervise all staff assigned to site, including ensuring accuracy and timely submission of timesheets and mileage reports
  • Assist the support team in route direction preparation
  • Delivery of meals as needed

SPECIAL EVENTS DIRECTOR

FeedMore WNY is seeking a full-time Special Events Director. The incumbent will be responsible for, but not limited to the following: Act as lead contact and project coordinator on all special events and projects identified throughout the year. Coordinates donor acknowledgment duties relating to events, ensuring calls are made and letters are sent in a timely manner. Assists with Development projects and donor relations including calls, letters and meetings as needed and directed by Chief Development Officer (CDO) and/or President and CEO.

Responsibilities:
 Supervises the Volunteer and Events Coordinator; with the management of event volunteers and rental of our Community Learning Center
 Direct liaison for all special and third party events; Coordinates event planning and execution, including generation of detailed project plans, budgets, timelines and check lists for each event.
 Tracks and maintains sponsor information, including pledge agreements and payment reminders, for special events and campaigns using FeedMore’s donor software.
 Solicits, secures and cultivates sponsorships for all existing and new events.
 Works with FeedMore WNY partners to create, develop and implement new events.
 Generates, customizes and obtains signatures for high quality, event-specific donor acknowledgment letters in a timely manner.
 Conducts a minimum of 30 donor calls per month.
 Organizes/conducts meetings with donors, event partners, new/existing sponsors/prospects.
 Performs other duties as requested.

Qualifications Required:
 Bachelor’s degree from an accredited college or equivalent education and experience.  Three years’ experience in the non-profit arena, development and/or related fields.
 Microsoft Office Suite / Excellent communication skills (written and oral)  Must be flexible and able to work evenings and weekends to support FeedMore WNY events  MUST have a valid Driver’s License / be capable of lifting of 35 lbs.

VAN DRIVER (SUBSTITUTE)

POSITION TITLE: Site Assistant Van Driver (Substitute)

JOB STATUS: Part-time – Approximate Hours: Monday-Friday 11:00 AM – 2:00 PM

FLSA STATUS: Non-exempt

REPORTS TO: Director of Site Services

 

POSITION OBJECTIVE: Responsible for the daily delivery of meals to recipients by driving and/or serving routes utilizing the agency van.

 

QUALIFICATIONS:

High School Diploma preferred.

Ability to read and write in English.

Ability to follow verbal and written instructions.

A current and valid New York State driver's license and access to an automobile if van is inoperable or unavailable.

Ability to pass a drug test, motor vehicle and background checks.

Knowledge of basic vehicle maintenance and safe driving.

Must be capable of lifting a minimum of 50 lbs.

 

RESPONSIBILITIES:

1. Report to commissary garage at designated time to pick up and return van.

2. Assume responsibility for loading/unloading delivery equipment into and out of vehicle.

3. Deliver meals according to proper daily delivery procedures.

4. Obtain relevant information regarding recipients and record it.

5. Make appropriate referrals to the central office regarding recipient issues.

6. The following schedule will be maintained after meal delivery is completed:

a. Vehicle log completed daily.  Report maintenance problems or concerns.  Maintain van interior in clean and orderly fashion.

b. Follow established accident and fuel purchase procedures.

WORK ADVOCATE

FeedMore WNY is seeking a full-time Work Advocate with primarily responsible for but not limited to development, implementation and management FeedMore WNY’s Workforce Development Skills Training Program. The incumbent helps to select and engage program partners; recruits, guides, mentors, and advocates for program trainees to solves for barriers to employment, liaises on behalf of the trainees with staff and external service partners, and ensures trainees have access to required services.

RESPONSIBILITIES:

• Facilitates high level work-readiness program development as well as more granular program scheduling
• Schedules and provides individual case management for each trainee
• Acts as a liaison between trainers and trainees in order to improve communication, understanding, resolve conflict, and provide direction
• Improves and administers a professional process for tracking and reporting trainee progress and communicating that progress to relevant staff and external partners
• Gains thorough knowledge of existing community services to increase each trainee’s chance to gain employment and work towards self-sufficiency
• Partners with the CWBDO and the HR Manager to develop, monitor, track, report and enhance all aspects of trainee application, orientation, curriculum, job skills training progress, and the obtainment of employment
• Ensures that any contractual obligations with partner providers are met and that the systems for compliance are up-to-date
• Ensures that all local, state, and federal safety standards are in compliance
• Other duties as assigned

QUALIFICATIONS:
• Bachelor’s degree in social work, human services or a related field PREFERRED
• Two (2) years of experience working with diverse at-risk populations, case management, social work and workforce training, recruiting and development
